Second Swing

Answer

How do you turn old HVAC estimates into booked jobs?

You work the list you already have. Sort each unclosed estimate by what stopped the sale, follow up in your shop's name with a message that answers that exact objection, and route anyone who responds to a salesperson fast. That practice has a name: database reactivation.

Every shop is sitting on a list it already paid for. You spent money to generate those leads and sent a tech out to quote them. The ones that didn't close are still real people who wanted the work done. Reactivation is going back to that list instead of buying a fresh one.

How it works, start to finish

  1. Pull the listExport your unclosed estimates from the last 180 days out of ServiceTitan, Housecall Pro, Jobber, or whatever you run. Name, number, ticket, date, and the note on why it stalled.
  2. Sort by objectionTag each one by what stopped it: price, financing, timing, comparing quotes, decision-maker, repair versus replace. The reason decides the message.
  3. Follow up in your nameSend a short, human message that answers that specific objection, from your shop, at a reasonable hour, with an easy opt-out. Not a blast. A reason to pick the conversation back up.
  4. Route responders fastWhen someone replies, a salesperson gets the callback while the person is still warm, with the original quote and one line on what held them up.

Why it beats buying more leads

A fresh paid lead is a stranger who filled out a form. An old estimate is someone who already let you into the house and got a number. The trust and the context are already there. You are not starting over, you are finishing something. That's why a booked job off the old list costs a fraction of one off a new lead.

The part that decides whether it works

Speed. A recovered callback is warm for a short window. If it sits for two days, it's gone. The shops that get the most out of reactivation are the ones with someone ready to call back the same day. That part is on you, and it's the part that matters most.

Is reactivating old estimates cheaper than buying leads?

Yes. You already paid to generate and quote these people. Reactivation spends nothing on new lead generation, so the cost per booked job is far lower.

Do I close the recovered jobs myself?

Yes. Recovery books the callback and hands your salesperson the person, the quote, and the objection. Your team closes.
